Burnout Resources Workflow

Overview

The Burnout Resources Workflow helps identify and support employees showing signs of stress or burnout. It centralizes requests, detected burnout cases, positive engagement signals, and underperformance incidents — enabling managers, HR, and support teams to take timely actions such as notifications, one-on-one check-ins, and escalations

Use the Request button from the Home page to open the workflow window and choose the relevant tab to view or act on items.

Who can access Burnout Resources Workflow?

  1. Any user role with the Required permissions to access Request and assign Request view. Administrators can configure custom roles with these permissions.
  2. Anyone can access Request in the current section if they have the access to view it.

Note: Please see the Settings section of PerXL hierarchy to find out more about who can access Request and who can edit or change Request properties.

How to access the workflow

  1. From the Home page, In left-hand sidebar there is a request option

  2. Click the Request button to open the Request window.

  3. Within the Request window use the top navigation to switch between: Breaks Requests Status, Burnout Employees, Positive Engagement, and Underperforming Employees.

The Request window has a navigation bar with four tabs:

  1. Breaks Requests Status — view and manage employee break/leave requests.
  2. Burnout Employees — list of employees flagged by AI for burnout symptoms and actions to support them.
  3. Positive Engagement — employees showing high engagement or positive signals; track and acknowledge.
  4. Underperforming Employees — employees flagged for performance issues to review and support.

Click on Burnout Employees tab to view the list of employees flagged by AI with a detected burnout score and recommended actions.

AI Task Description feature

Use the filter buttons to change the list:

  • All — show all flagged resources.
  • Unaddressed — cases not yet acted upon.
  • Needs Updates — cases that require follow-up or progress notes.
  • Closed — resolved or closed cases.

List Columns

  • Resource Name
  • Detected On date AI detected burnout signs.
  • Actions icons to Schedule Meeting / Message , icon to View Analysis icon to View Meeting History
  • Status — e.g., Meeting Scheduled, Needs Follow-up, Closed

Actions include:

  • Message (Schedule meeting) icon opens the one-on-one meeting summary form to capture discussion points, next meeting date, concerns, observations and development focus; then submit or cancel.

AI Analysis / Burnout Report (View / Eye Icon)

The AI analysis modal shows a generic, privacy-safe summary for any selected resource. This modal is generic — replace personal example data with the selected resource details.

Guidelines & Best Practices

  1. Respect privacy — Share AI findings and reports only with authorized HR and managers.
  2. Human review required — AI provides recommendations — always validate and follow HR policies.
  3. Timely follow-up — Use the Message modal to record meeting outcomes and next steps.
  4. Document actions — Keep meeting notes, survey responses, and agreed action plans in the case record.
  5. Frequency - For moderate or high-risk cases, schedule regular check-ins (weekly or bi-weekly) until improvement is observed.
