Collaborative Documents

Collaborative Documents in PerXL enable teams to work together on documents in real-time, similar to Google Docs or Microsoft 365. Multiple team members can simultaneously edit, comment, and review documents, making it perfect for creating reports, documentation, meeting notes, project plans, and other shared content.

Accessing Collaborative Documents

How to access the Collaborative Document Editor?

  1. Navigate to your desired Workspace from the main dashboard.
  2. Select the specific Section where you want to create or access the document.

  3. Look for the Collaborative Word Document button:

  4. Click the button to open the collaborative document editor

Tip: The collaborative document feature is available in all sections within your workspace, allowing you to create context-specific documentation.

Creating new documents

When you click the collaborative document button, you have two options:

  1. Create New Document

    Start with a blank document that team members can immediately begin editing collaboratively.

  2. Open Existing Document

    Access previously created collaborative documents within the current section

Auto-Save Feature

All changes are automatically saved every few seconds. You'll see a "Saving..." indicator in the top toolbar, followed by "Saved" confirmation.

Understanding the Editor Interface

The collaborative document editor interface consists of several key components designed for seamless team collaboration:

  1. Header Section
    • Document Title: Editable title field at the top
    • User Avatars: Shows all currently active collaborators

  3. The toolbar provides comprehensive text formatting options organized in logical groups. These tools allow users to style text, format paragraphs, insert content, and manage document structure efficiently.

    • Bold, Italic, Underline, Strike: Standard text emphasis options
    • Font Selection: Choose from available system fonts
    • Font Size: Adjustable from 8pt to 72pt
    • Text Color: Full color palette available

    • Paragraph Styles: Normal, Heading 1-6, Quote
    • Alignment: Left, Center, Right, Justify
    • Line Spacing: Single, 1.15, 1.5, Double
    • Indentation: Increase/decrease indent levels
    Lists and Tables
    List Creation
    • Bullet Lists: Various bullet styles available
    • Numbered Lists: Automatic numbering with customizable formats
    • Nested Lists: Create multi-level hierarchical lists

  5. The collaborative document editor provides several features that enable seamless real-time teamwork:

    Live Editing and Cursors
    Live Cursor Tracking
    • Colored Cursors: Each user has a unique colored cursor that shows exactly where they're typing or selecting text
    • Real-time Changes: See edits appear instantly as other users type, with no delay
    • Selection Highlighting: When users select text, it's highlighted in their signature color
    • Typing Indicators: Small indicators show when someone is actively typing
    Conflict Resolution

    The system automatically handles conflicting edits, ensuring no work is lost when multiple users edit the same section simultaneously.

    The header shows all users currently viewing or editing the document:

    User Information
    • Profile pictures or initials
    • Full names on hover
    • Last activity timestamp
    • Current cursor location
    Comment System
    Adding Comments
    1. Select the text you want to comment on
    2. Click the Comment button that appears, or use Ctrl+Alt+M
    3. Type your comment in the comment box
    4. Click Comment to save, or Cancel to discard
    Comment Management
    • Reply to Comments: Click on any comment to add a reply
    • Resolve Comments: Mark comments as resolved when addressed
    • Comment Notifications: Get notified when someone responds to your comments
    • Comment History: View all comments and their resolution status
    Comment Visibility

    Comments appear as highlighted text with numbered indicators. Click the comment number to open the comment thread in the sidebar.
